Managerium

Managerium is an all-in-all ERP Software to integrate diverse aspects of a business within a single platform in order to centralize a company’s database, automate regular operations, and streamline business processes for businesses of any size, whether small, medium, or large.

Summary: Managerium automates business with user centric ERP and POS solutions and is being praised for its best user experience in Bangladesh. We have got over 35+ B2B clients in 2 quarters by addressing key challenges and implementing advanced UX methodologies.

Introduction

As one of the best ERP software in Bangladesh, Managerium simplifies business automation of many manufacturing, retail, trading and service businesses. This solution is designed for sales, inventory, point of sales (POS), purchase, cost control and accounting for any business that wants to streamline process and reduce over processing so that employees can focus on complex tasks.

Problem

Initially Managerium offered a full fledged and complex ERP system called iBOS ERP. Through customer surveys, feedback and behavior analysis we found out several key issues. The complex interface made it hard for users to find information quickly and navigating through the many modules was tough. Data entry, a common phenomenon in ERPs was time consuming and error prone. Users had difficulties during training and onboarding and often needed help from backend engineers especially for database related tasks and wanted a simpler onboarding process. Our customers had different needs: some wanted only inventory management while others only wanted accounting features. This led to cost management and budget constraints and we couldn’t offer everything in the ERP system. Compliance with multi-currency and tax regulations was also a big problem and managing ledgers and financial reconciliation was complex. These insights showed us that we needed a more user friendly, customizable and compliant ERP solution.

Many of our customers only needed Managerium while others only needed a Point of Sale (POS) system. POS was a new requirement from our customers. Our market competitor analysis showed that developing this module would be very tough.

Solution

We focus on user outcomes. We implement Enterprise Design Thinking principles that puts user at the center and addresses their needs. We connect business objectives, technical limitations and user needs to deliver better user experiences. By using As-Is Scenario Map, To-Be Scenario Map and Job-to-be-Done approach we cluster all transactional data and reduce number of input-fields and simplify data entry.

We followed a design process framework. First we built a strategy using user need finding and user journey maps for each module. We defined user needs and made assumptions about how their journey would achieve the task. In the previous ERP system there were many features and functionalities. We defined the project scope with detailed feature specifications and prioritization. Then we structured the project with navigational design and information architecture. We created a skeleton using rapid paper wireframe prototyping and then designed the final design.

In Managerium we clustered similar data inputs and removed redundancy. First we gathered data from all modules and found out the common relationships. We removed duplicate data and kept only unique entries. Also removed the unnecessary data.

Point of Sale (POS) is another project but both POS and Managerium are in the same industry. We want to integrate POS with Managerium so all POS data, dashboards and recorded items sync with Managerium. During the POS design process we encountered some user experience issues. One of the biggest challenge was the frequent internet connectivity problems in retail stores. Retailers often face difficulties when the internet connection drops and transactions get delayed especially when there’s a long queue of customers. Merchandisers and retail POS operators are concerned about recording customer invoices in the cloud with unreliable internet.

Solution For POS, we focused on customer and retailer behavior and market competitors. Our research showed us the needs of customers and POS operators. Customers want rewards, discounts and benefits from their shopping experience. Retailers want to manage invoices and payments fast and easy. We introduced features like rewards, hold, recall and exchange invoices. We also highlighted total paid amount, payments and discounts on the interface so retailers can easily understand and operate.

For internet connectivity issues, we made the POS as a Windows application (.exe file). This way the software can run offline using local cached data and sync with Managerium once the internet connection is restored.

Achievement, and Role

As the UX lead for this project with I worked closely with Israt Jahan (UX Designer), business analysts, large software engineering team and retail operators to ensure the design meets the user needs. My responsibilities were designing the architecture, understanding user needs, breaking ERP silos and creating an awesome user experience. We used UX methodologies like user journey mapping, information architecture and rapid prototyping to deliver a product that our users love.

In just 2 quarters we achieved the remarkable milestone of 35+ B2B clients. Our clients were so impressed with Managerium that they replaced their existing software with our solution. They said Managerium is the best user experience enterprise software in Bangladesh. Clients loved the clear view of profit and loss, multi-branch management, smart report generation, real-time data and analytics, multiple warehouse management and overall control of their business.
